At School Alternative, we view complaints as an opportunity to learn, improve, and strengthen our relationships with our clients and stakeholders. We are committed to providing a fair, transparent, and efficient complaints procedure that ensures all concerns are addressed promptly and appropriately.
Our policy aims to:
- Provide a clear and accessible complaints procedure for anyone wishing to raise a concern;
- Ensure all staff understand their responsibilities when handling complaints;
- Investigate complaints fairly and in a timely manner;
- Resolve complaints wherever possible and restore trust;
- Use feedback from complaints to improve our services.
2. Definition of a Complaint
A complaint is any expression of dissatisfaction, whether justified or not, regarding any aspect of the services provided by School Alternative.
3. Scope of the Policy
This policy applies to complaints received from individuals, students, or organizations with an interest in School Alternative. It does not cover internal staff complaints, which are addressed under separate internal policies in compliance with Bangladesh Labour Law.
4. Confidentiality
All complaints will be handled with the utmost confidentiality. Information will only be shared with those directly involved in resolving the complaint, in compliance with applicable data protection laws and regulations in Bangladesh.
5. Responsibility
The overall responsibility for this policy and its implementation lies with the Board of Directors of School Alternative.
6. Review
This policy will be reviewed regularly and updated as necessary to ensure its effectiveness and compliance with relevant laws and regulations.

2. Receiving Complaints
Complaints may be received through any publicized channels or other contact details provided to the complainant.
3. Resolving Complaints
- Stage One
- In most cases, complaints are best resolved by the person responsible for the issue. If the complaint is received by that person, they should attempt to resolve it promptly and appropriately.
- Whether resolved or not, the complaint must be reported to the Director of Operations within five (5) business days.
- The Director of Operations will log the complaint and assign an appropriate person to investigate and take necessary action.
- If the complaint involves a specific individual, they must be informed and given a fair opportunity to respond.
- Complaints will be acknowledged within five (5) working days, including details of the person handling the complaint and an estimated timeline for resolution.
- A definitive response should be provided within one (1) month. If further investigation is required, a progress report will be shared, along with an updated timeline.
- The response will include details of the investigation, conclusions, and any actions taken.

- Stage Two
- If the complainant is unsatisfied with the resolution at Stage One, they may request a review by the CEO and CTO.
- The request for review must be acknowledged within five (5) working days, specifying who will handle the case and the expected timeline for resolution.
- The CEO and CTO may conduct the investigation themselves or delegate it to a senior team member. The individual who handled the complaint at Stage One will be kept informed.
- A final response will be provided within one (1) month, including details of the investigation, conclusions, and actions taken. The decision at this stage is final unless external assistance is deemed necessary.
4. Variation of the Complaints Procedure
The Board of Directors may modify the procedure to avoid conflicts of interest or for other valid reasons. For example, complaints involving the CEO will not be reviewed by the CEO.
5. Monitoring and Learning from Complaints
Complaints will be reviewed annually to identify trends and areas for improvement. This analysis will inform necessary actions to enhance our services and prevent recurring issues.
6. Compliance with Bangladesh Labour Law
This policy is designed to comply with the Bangladesh Labour Act and other relevant regulations. Any complaints related to employment or labor issues will be handled in accordance with the applicable provisions of the Bangladesh Labour Act.
